CITY OF PARKERSBURG
Public Works Administrative Assistant (Director)


DEPARTMENT: Public Works                                                                                     GRADE: H-7 Non-Exempt $13.55/hr

Reports directly to the Public Works Director.

JOB SUMMARY: Performs responsible clerical duties for the Public Works Department.

RESPONSIBILITIES, DUTIES AND ACCOUNTABILITIES:

1) Types and proofreads reports, letters, memos, and statistical data;
2) Types from rough drafts, verbal instructions and/or audio tapes;
3) Answers routine correspondence not needing management attention and refers more complex or sensitive issues to the Public Works Director or appropriate supervisors.
4) Routes complaints and/or requests for information to responsible departments;
5) Maintains calendars and schedules of meetings and events;
6) Compiles data for special projects;
7) Collects and assembles data and background materials for a variety of reports;
8) Establishes and maintains databases for payroll, work activities and inventory control;
9) Prepares and compiles bi-weekly payroll;
10) Screens mail, office and telephone callers;
11) Maintains files and records;
12) May work with confidential information;
13) Performs dispatching duties and requests;
14) Assists with monitoring budgets of all Public Works Departments;
15) Provides back up for Parks Department Administrative Assistant;
16) Provides back up for scheduling appointments and inspections relating to Code Officers and Fire Inspector;
17) Provides assistance and coverage for the Code Office window;
18) Performs other related duties as assigned.

POSITION REQUIREMENTS AND QUALIFICATIONS:

Possession of a high school diploma or GED supplemented by courses at a community or technical school in office assistance or related field; two (2) years’ experience in performing general clerical work in an office setting; or an equivalent combination of experience and training.
Above average computer skills (Microsoft Office – Word & Excel). Excellent interpersonal and communication skills, both oral and written. Excellent organizational skills. Must be able to work well independently and as a team member. Must be able to maintain confidentiality. Must be able to interact professionally with the public.

SUBSTITUTE SCHOOL CROSSING GUARD:

Substitute School Crossing Guard

GENERAL DUTIES:

Monitor cross walks / street intersections to ensure safe crossing by school children.

OTHER INFORMATION:

Pay Rate – $9.26/hour

The substitute positions work on as “as needed” basis to fill open shifts, cover for illnesses / vacations, etc. Many times there will be limited or no advanced notice of when these positions would be called to work.

Shifts are 1½ hours in the morning and/or 1½ hours in the afternoon. Hours are set based on the school assigned to.

No minimum number of work hours are guaranteed. When a “regular” shift opens, it is normally filled from the interested regular and substitutes crossing guards.

These are part-time positions. There are no benefits associated with these positions.
